ScholyHub is a study abroad consultancy and discovery platform operated by ScholyHub, with its registered office at Gulberg Trade Center, Gulberg Green, Islamabad, Pakistan. We help students find international universities, academic programs, scholarships, and provide paid consultancy services for applications, visa guidance, and career planning.

2. Information We Collect
2.1 Account Information
When you register, we collect your full name, email address, and password hash (we never store plain-text passwords). If you sign in via Google OAuth, we receive your name, email address, and profile picture from Google, which is synced to your ScholyHub profile.
2.2 Profile Data
Information you voluntarily provide to receive personalized recommendations:
- Country of origin, date of birth, phone number
- Academic details: GPA/CGPA, IELTS/TOEFL scores, education level
- Preferences: field of study, degree level, target intake, budget range
- Preferred study destinations and languages spoken
- Educational background and professional achievements
2.3 Usage & Interaction Data
We automatically collect data about your interactions: pages viewed, search queries, programs and scholarships saved, community posts and reactions, AI match requests and results, application statuses you track, and time spent on pages.
2.4 Device & Technical Data
Your IP address, browser type and version, operating system, screen resolution, device type, referring URLs, and approximate geographic location derived from your IP address.
2.5 Consultancy & Payment Data
When you purchase a consultancy package or submit an application through our platform, we collect the information in your inquiry form including program preferences, documents submitted, and payment details. Payment processing is handled by secure third-party processors - we do not store credit card numbers on our servers.
3. How We Use Your Information
- Service Delivery: Create your account, display relevant programs and scholarships, enable application tracking, and provide consultancy services
- Personalization: Power our AI Study Match and ScholyBot chatbot to give you tailored recommendations based on your academic profile
- Communication: Send scholarship deadline reminders, consultancy updates, platform notifications, and respond to inquiries. Marketing emails require explicit opt-in
- Consultancy Operations: Process your application inquiries, match you with consultants, track application progress, and deliver paid services
- Platform Improvement: Analyze aggregate usage patterns, fix bugs, and develop new features
- Security: Detect and prevent fraud, abuse, and unauthorized access
- Legal Compliance: Comply with applicable laws and regulations
4. AI-Powered Features
Our AI Study Match and ScholyBot use machine learning to generate personalized recommendations. When you use these features:
- Your profile data (GPA, scores, preferences) is sent to Google Gemini AI and/or OpenAI APIs solely for generating recommendations
- These providers process data in real-time and do not retain it after the request, per their data processing agreements
- If you are logged in, the chatbot personalizes responses using your profile data (name, field, country, budget)
- AI results are saved in your account for later reference - you can delete them anytime
5. Data Sharing
We do not sell, rent, or trade your personal information. We share data only with:
- Service Providers: Supabase (database/auth, US), Vercel (hosting/CDN), Resend (transactional emails), SendPulse (newsletters), Google Cloud (AI)
- Consultancy Partners: When you submit an application through our consultancy service, relevant application details may be shared with partner universities or agents, only with your explicit consent
- Legal Requirements: When required by Pakistani law, court orders, or to protect the rights and safety of ScholyHub or its users
- With Your Consent: When you voluntarily share information, such as community forum posts visible to all users
6. Data Security
- Encryption: All data in transit is encrypted using TLS 1.3 (HTTPS)
- Database: Row Level Security (RLS) ensures users access only their own data
- Authentication: Passwords hashed via bcrypt; Google OAuth supported
- Access Controls: Internal data access limited to authorized admin personnel
- Infrastructure: Supabase and Vercel maintain SOC 2 compliance
No system is 100% secure. In the event of a data breach, we will notify affected users within 72 hours.
7. Your Privacy Rights
All ScholyHub users have the right to:
- Access: Request a copy of all personal data we hold about you
- Correction: Update inaccurate information via your dashboard
- Deletion: Delete your account and data (completed within 30 days)
- Portability: Request your data in a machine-readable format
- Restriction: Ask us to limit processing of your data
- Objection: Object to processing for specific purposes
- Marketing Opt-out: Unsubscribe from marketing emails anytime via email preferences in your dashboard

8. Data Retention
- Account data: Retained while your account is active
- AI match results: Retained until you delete them or your account
- Consultancy records: Retained for 3 years after service completion for legal and reference purposes
- Community posts: Retained unless deleted by you or administrators
- Email logs: Retained for 12 months
- Deleted accounts: Permanently purged within 30 days; backups within 90 days
9. International Data Transfers
ScholyHub is operated from Pakistan. Your data may be processed in the United States through our service providers (Supabase, Vercel, Resend). All international transfers are governed by appropriate safeguards including Standard Contractual Clauses.
10. Children's Privacy
ScholyHub is for users aged 16 and older. We do not knowingly collect data from anyone under 16. If we discover such data, it will be deleted immediately. Report suspected underage accounts to privacy@scholyhub.com.
11. Changes to This Policy
We may update this policy periodically. Material changes will be communicated via email and a notice on our website at least 14 days before taking effect. Continued use after changes constitutes acceptance.
